Official FAQ — operator draft, kept verbatim. Effective with the published support contact.
Who can use Féroce OS?
The owner and authorised Féroce admin staff. Coach and customer logins are not available in the current phase.
What is Féroce OS used for?
Managing member profiles, sales, invoices, payment records, package activation, PT assignments, sessions and renewal follow-ups.
Can customers pay through Féroce OS?
No. Customers pay externally. Admin records the payment and its method in Féroce OS.
Which payment methods can admin record?
Cash, DuitNow, Cheque, ATM Deposit, Online Bank Transfer, ShopeePay, Sarawak Pay, Touch ’n Go eWallet, Boost Pay and GrabPay.
Does choosing DuitNow or an e-wallet verify the payment?
No. The selection records how the customer paid. Staff must verify receipt through the appropriate external source.
Can one invoice have several payments or methods?
Yes. For example, a RM250 invoice can have RM100 Cash and RM150 DuitNow. Both payments must link to the same invoice.
How do I record a remaining balance?
Open the existing invoice and choose Record Payment. Check the invoice total, previous payments and outstanding balance before confirming. Do not create another invoice for the same balance.
How are cheques handled?
A cheque remains pending until authorised staff confirm clearance. Pending amounts do not count as settled funds or activate a package.
When can a package be activated?
Once the required payment is fully confirmed and the applicable package details and activation rules are satisfied. A partial payment alone does not activate it.
Will a returning member pay the RM100 registration fee again?
No — a member who has already paid it must never be charged again. Confirmed fee policy (2026-09-08, updated 23:55): the RM100 fee applies only to new group-class members, selected manually through the unticked “Add registration fee — RM100” box on Registration. PT, programmes, Kids and walk-ins are exempt under the owner-approved policy — no individual approval is needed and an exemption never marks the member as fee-paid. Unknown history — verify before charging (Option B): the RM100 cannot be added to an imported/legacy member's sale until their fee history is verified with evidence (Owner/Manager/Admin, or the Approvals tab; “verified unpaid” makes the fee available). Purchases without the fee are never blocked, and the history stays visibly Unknown until verified.
Can I get a receipt?
Admin can generate a receipt for a confirmed payment. Check the member, invoice, amount, method and remaining balance before sharing it.
How is a PT coach assigned?
After the paid PT package is activated, admin selects an eligible active PT coach. A pending assignment must be completed before sessions can be scheduled.
How are remaining PT sessions calculated?
Remaining sessions equal purchased sessions minus completed sessions. Each completed session consumes one credit. Cancelled and No-show sessions do not consume credits under the current policy.
Can a client change coach?
Admin can transfer a client to another eligible coach, recording the reason and preserving assignment history.
What happens when a package is renewed?
The renewal creates new transaction and package records while preserving the previous package. Admin must check the proposed start and expiry dates before confirmation.
Does renewing automatically charge the customer?
No. Payment takes place externally and is recorded manually in Féroce OS.
What should I do if a payment appears missing or the screen is delayed?
Check the original invoice and payment history before submitting again. If the result is still unclear, report the invoice reference to administration to prevent duplicate recording.
Where do I see packages and prices? The Price List tab (its own navigation item) shows “Official Féroce Packages and Price Lists” with a live “Last updated” stamp (the most recent published catalogue change — browsing never changes it). Click a package card to Select & Register (opens Registration with that package preselected; nothing is created until you register and confirm the sale) or Select Existing Member to continue on an existing profile.
What is the RM20 reactivation fee? Members whose status is Cancelled or Expired may have a RM20 reactivation fee added at the sale — a manual tick, shown separately from the package price (like the RM100 registration fee). Never automatic; a duplicate unpaid reactivation invoice is blocked. (Exact eligibility list is pending Owner confirmation — DR-021.)
Can I correct a mistake or issue a refund?
Use the authorised correction process. Restricted changes, refunds and reversals require owner approval. Recording a refund in Féroce OS does not transfer money to the customer.
Who should I contact for help?
Contact [CONFIRM support email or internal support channel]. Include the relevant member or invoice reference, but never send passwords or unnecessary personal information.
Kept from the internal FAQ so staff-facing detail is not lost. Answers verified against the Féroce OS build on 8 September 2026.
When are registration/reactivation fees applied? Fees are calculated by the system when you create the sale and shown separately before you confirm the invoice: RM100 for a genuinely new member, RM20 reactivation for a verified expired member returning, RM0 for a continuous active renewal. Lifetime Registration Pass holders (RM399) are exempt. You cannot omit a required fee — discretionary waivers go through Owner approval. (Fee policy effective date: pending Owner confirmation.)
What if the fee history is unknown? Imported/legacy members with Unknown history are not charged and not assumed anything — the purchase proceeds with no fee pending evidence-based verification (member profile: Mark paid / Verified unpaid / Waive-not-due, or the Approvals tab).
What happens to the total when I tick the box? One RM100 "Registration fee (one-time)" line appears and the total updates before you confirm (e.g. RM150 → RM250). The amount is backend-enforced — always exactly RM100, once.
Ticking the box records the payment, right? No. It only adds the line to the invoice; payment is recorded separately through the normal payment flow, like any other invoice line.
Can the fee be charged twice? No — backend-enforced. Already paid → "Registration fee already paid" and adding is disabled. Already invoiced but unpaid → rejected with a pointer to that invoice ("Registration fee already invoiced on SLS-XXXX (unpaid). Settle that invoice first…"). Waived/not-due members and packages without a registration fee are rejected. Every fee line is audited (REG_FEE_ADDED — who/when); waivers and reversals of issued charges need owner approval.
What about imported/legacy members whose fee history is unverified (Unknown)? They show "Registration-fee history needs verification". Nothing is assumed and the RM100 cannot be added until the history is verified with evidence (Option B — no “charge with unverified note” bypass). Purchases without the fee are never blocked. The member profile offers verify actions: Mark paid (evidence) · Verified unpaid — fee applies · Waive / not due (non-owners go through owner approval). The history stays visibly Unknown until verified.
Can one invoice be paid in instalments / mixed methods? Yes — partial payments and mixed methods (e.g. RM100 Cash + RM150 DuitNow) link to the same invoice; settling the remaining balance never creates a second invoice. Only cleared (Completed) payments count toward settlement; a Pending cheque does not reduce the balance.
Where can I attach proof of payment? Each payment row has "📎 Attach proof" (PNG/JPG/GIF/WebP/PDF, ≤5 MB, optional). Proof is visible only to authorised staff, audited, and included in backups.
